These terms apply to your use of our website and our embroidery digitizing, vector artwork, custom patch, and related services.
Effective Date: July 13, 2026Welcome to Built With Threads LLC. These Terms and Conditions govern your access to builtwiththreadsllc.com, customer accounts, quotations, orders, digital files, physical products, and related services.
By accessing our website, requesting a quote, submitting artwork, approving a proof, placing an order, or using our services, you agree to these Terms and Conditions.
If you do not agree with these terms, please do not place an order or use our services. Contact us before ordering if you need clarification.
1. Our Services
Built With Threads LLC provides services including:
- Embroidery digitizing
- Logo, cap, 3D puff, appliqué, and jacket-back digitizing
- Raster-to-vector artwork conversion
- Custom embroidered, woven, chenille, PVC, and other patches
- Artwork preparation, editing, and production support
- Digital designs and related products offered through our shop
The availability, price, delivery method, and turnaround time of a service may depend on the artwork, size, complexity, stitch count, file format, material, quantity, and production requirements.
2. Customer Accounts and Information
You may be required to provide accurate contact, billing, shipping, and order information when creating an account or placing an order.
You are responsible for keeping your login information confidential and for activity conducted through your account. Notify us promptly if you suspect unauthorized access.
We may suspend or close accounts containing false information, showing unauthorized activity, or violating these terms.
3. Quotes and Pricing
Quotes are based on the artwork, size, format, placement, quantity, materials, and instructions provided at the time of review.
If you change the original instructions, dimensions, artwork, quantity, or production requirements, we may revise the price and turnaround time.
Website prices may be starting estimates. The confirmed quotation takes priority when it differs from a general price displayed on the website.
Special pricing may be offered for recurring, subscription, bundled, or high-volume orders. Such pricing only applies for the stated period and conditions.
4. Orders and Acceptance
Submitting artwork or an order does not require us to accept the project. We may request additional information, reject artwork, or decline an order when:
- The instructions are incomplete or unclear
- The requested deadline is not reasonably achievable
- The artwork appears unlawful or unauthorized
- The project falls outside our available services
- Payment or verification requirements are not completed
An order is accepted when we confirm the project and any required payment has been received or approved.
5. Payment Terms
Payment requirements will be shown during checkout, included in a quotation, or provided with an invoice.
Depending on the project, full or partial payment may be required before work begins, final files are released, or physical products enter production.
Available payment methods may be provided through third-party payment processors. You agree to provide accurate payment and billing information.
You are responsible for applicable taxes, duties, customs charges, bank fees, or currency-conversion costs unless stated otherwise.
6. Customer Artwork and Intellectual Property
You retain ownership of the original artwork and materials you provide, subject to any rights held by their original owner.
By submitting artwork, you confirm that you own it or have authorization to reproduce, modify, digitize, print, embroider, and otherwise use it for the requested project.
You grant Built With Threads LLC a limited license to access, modify, reproduce, and share the artwork with necessary production providers solely to complete your order.
You may not submit artwork that infringes copyrights, trademarks, publicity rights, privacy rights, or other legal rights.
We may refuse or cancel projects that reasonably appear unlawful, misleading, hateful, threatening, defamatory, or unauthorized.
7. Proofs, Approvals and Customer Responsibility
When a digital proof, mockup, photographed sample, or production specification is provided, you are responsible for reviewing:
- Spelling and lettering
- Dimensions and placement
- Colors and color sequence
- Patch shape, border, and backing
- Artwork details and overall layout
- Required machine or vector file format
Approval authorizes us to proceed based on the approved information. Changes requested after approval may result in additional charges and a revised delivery schedule.
Screen colors may differ from actual thread, fabric, ink, leather, PVC, or printed colors because of device displays and production materials.
8. Revisions and Editing
Reasonable revisions based on the original artwork and instructions may be included as stated in your quote or selected service.
Additional charges may apply when you request:
- A different design or concept
- New text, artwork, or design elements
- A significant change in dimensions
- A new embroidery application or garment placement
- Changes after proof or sample approval
- Redigitizing caused by changed instructions
Revision requests should clearly explain the required changes. Revisions do not include unlimited redesign services.
9. Digital File Delivery
Embroidery and vector files may be delivered through email, customer accounts, secure download links, or another agreed electronic method.
You are responsible for downloading and securely storing delivered files. Although we may retain order files for support purposes, we do not guarantee permanent file storage.
You must confirm the required machine or artwork format before delivery. Additional conversion work may be charged separately when the requested format was not included in the original order.
10. Embroidery Testing and Production Results
Embroidery results can vary depending on the machine, fabric, thread, stabilizer, needle, tension, hooping, speed, and operator settings.
Customers should test each delivered embroidery file on comparable material before beginning full production.
Built With Threads LLC is not responsible for damaged garments, lost materials, production downtime, or other costs caused by using a file without appropriate testing.
If a genuine digitizing issue is identified, contact us with a photograph, production details, and an explanation so we can review the file.
11. Custom Patch Production
Custom patches are made according to approved artwork and specifications. Minor production variations may occur between patches or production batches.
Such variations may include small differences in thread color, material, dimensions, border thickness, backing, texture, or placement. Reasonable manufacturing variations are not considered defects.
Production generally begins after artwork approval and required payment. Changes requested after production begins may not be possible.
12. Shipping and Delivery
Estimated production and shipping times are provided after the project requirements are confirmed. Estimates are not guarantees unless expressly agreed in writing.
Physical orders will be shipped to the address provided by the customer. You are responsible for checking the address before shipment.
Shipping delays may occur because of carriers, customs, weather, incomplete information, or events outside our reasonable control.
If we cannot ship within the promised or legally required period, we will provide available delay or cancellation options as required by applicable law.
International customers are responsible for customs duties, import taxes, clearance charges, and local delivery requirements unless otherwise stated.
13. Cancellations and Refunds
Digital Services
You may request cancellation before work begins. Once custom digitizing, vector conversion, editing, or another digital service has started, completed work may be deducted from any eligible refund.
Completed or delivered custom digital files are generally non-refundable. If the delivered file does not reasonably follow the approved instructions, we will first review the issue and offer an appropriate correction.
Custom Physical Products
Custom patch orders may be cancelled before proof approval or production begins, subject to artwork, setup, processing, or material costs already incurred.
Orders cannot normally be cancelled or fully refunded after proof approval, material ordering, or production has begun.
Defective or Incorrect Orders
Report a defective or materially incorrect physical order within seven days of delivery. Include the order number, description, and clear photographs.
After review, an appropriate remedy may include correction, replacement, partial refund, or refund. Normal manufacturing variations, customer-approved details, and customer-supplied errors are not considered defects.
Nothing in this section limits refund or cancellation rights that cannot legally be waived.
14. Website Content and Copyright
Unless otherwise stated, the website’s text, branding, graphics, layouts, photographs, service descriptions, and original content are owned by or licensed to Built With Threads LLC.
You may not copy, reproduce, republish, sell, distribute, scrape, modify, or commercially exploit website content without written permission.
Customer artwork displayed with permission remains subject to the rights of the customer or applicable rights holder.
15. Acceptable Use of the Website
You agree not to:
- Use the website for fraudulent or unlawful purposes
- Upload malware, harmful code, or corrupted files
- Attempt unauthorized access to accounts or systems
- Interfere with website performance or security
- Submit artwork you are not authorized to use
- Impersonate another person or business
- Use automated tools to scrape or overload the website
16. Website and Service Disclaimer
We make reasonable efforts to maintain accurate website information and reliable services. However, the website and its content are provided on an “as available” basis to the extent permitted by law.
We do not guarantee that the website will always be uninterrupted, error-free, secure, or compatible with every device or software system.
Product images, mockups, thread colors, and screen previews are illustrative. Actual production results may vary because of materials, equipment, settings, and display differences.
17. Limitation of Liability
To the maximum extent permitted by law, Built With Threads LLC will not be liable for indirect, incidental, special, consequential, or punitive damages arising from the website, services, delayed production, file use, or physical products.
This may include lost profits, lost business, production downtime, wasted garments, lost files, lost opportunities, or reputational harm.
Where liability cannot be excluded, our total liability will not exceed the amount paid for the specific service or order giving rise to the claim.
These limitations do not apply where prohibited by law.
18. Customer Indemnification
To the extent permitted by law, you agree to defend and indemnify Built With Threads LLC against claims, losses, liabilities, and reasonable expenses arising from:
- Artwork or content you submit
- Your infringement of third-party rights
- Your unlawful or unauthorized use of our services
- Your violation of these Terms and Conditions
19. Suspension or Termination
We may restrict, suspend, or terminate access to the website, accounts, or services when a customer violates these terms, fails to make payment, submits unlawful material, abuses staff, or creates a security or legal risk.
Termination does not remove payment obligations or provisions that are intended to survive, including intellectual-property, liability, and dispute provisions.
20. Governing Law
These Terms and Conditions are governed by the laws of the State of Illinois and applicable United States federal law, without regard to conflict-of-law principles.
Any dispute will be handled by a court with proper jurisdiction in Illinois unless applicable consumer law requires otherwise.
Nothing in these terms removes legal rights that cannot be waived under applicable law.
21. Changes to These Terms
We may update these terms when our services, prices, business practices, or legal obligations change.
Updated terms will be published on this page with a revised effective date. Changes apply to future website use and orders unless otherwise required by law.
22. Entire Agreement and Severability
These terms, together with an accepted quotation, order details, Privacy Policy, and any written project agreement, form the agreement between you and Built With Threads LLC.
If one provision is found invalid or unenforceable, the remaining provisions will continue to apply to the extent permitted by law.
Our failure to enforce a provision does not waive our right to enforce it later.
